This is a non-union, full-time, salaried, non-exempt position, grade 05 with an expected hiring range of $49,500 to $54,450 annually. - This position contributes to the success of Brookfield Zoo Chicago (“BZC”) by supporting the day-to-day operations and activities of the development fundraising boards and events.
- The Coordinator of Development Boards & Engagement works closely with the Development Boards & Engagement team to assist in the coordination of efforts to engage Women’s Board, Young Professionals Council, and other donors at Brookfield Zoo Chicago, and help support annual, programmatic, campaign, and special event fundraising goals through various events and activities.
PRIMARY JOB DUTIES AND RESPONSIBILITIES:

- In coordination with the Manager, Development Board Operations and Director of Development Boards & Events, assist and provide administrative support for the execution of Brookfield Zoo Chicago’s premier development events, including The Whirl gala, Wines in the Wild, Conservation Leadership Awards Dinner, etc.
- Support the coordination and implementation of various aspects of event planning, including the development of event printed materials, managing RSVPs and guest lists, submitting contracts and scheduling payment requests for vendor/external partners, and helping to prepare day-of event materials for staff and key stakeholders, including event timelines and logistics, staffing documents, and seating assignments.
- Serve as departmental liaison for Development staff with the catering external vendor at Brookfield Zoo Chicago.
- Support the coordination of large donor meetings, events and other departmental activities.
- In coordination with the Manager of Development Board Operations, schedule and support board and committee meetings for the Women’s Board and Young Professionals Council.
- This includes calendar review and coordination, meeting space logistics, printing and distribution of meeting materials., attending meetings to provide staff support, and assisting with the maintenance of governance records.
- Respond to inquiries from Women’s Board and Young Professional Council members and committee participants, ensuring personal, prompt and exceptional service in a professional manner at all times.
- Coordinate donor requests and provide donor tours for development board member requests as needed.
- Maintain a comprehensive working knowledge of BZC’s programs and communicate BZC’s needs to members of the development fundraising boards.

POSITION REQUIREMENTS:
- Associates degree in relevant field or four years of equivalent experience required. High school diploma or educational equivalent (e.g., GED.) required.
- Two years’ relevant, comparable experience working in a development, non-profit, hospitality, or administrative position.
- Creative individual with the ability to think strategically and deal with changing priorities, emergent issues, multiple projects, and clients simultaneously.
- Must be self-motivated, able to make sound, independent decisions and react calmly to unplanned events and changes in high-stress situations.
- Must be results-oriented, confident, customer-oriented, and have strong people skills.
- Ability to establish and maintain a strong rapport and positive relationships with others.
- Strong communication skills, including verbal, listening, and presentation skills required. Must be articulate and able to represent the organization effectively. both internally and externally. Substantial interaction with other departments is required.
- English fluency is required at a full professional proficiency.
- Ability to work with minimal supervision, work under pressure, and meet critical deadlines.
- Computer proficiency with Microsoft Outlook, Word, and Excel required. Experience with database packages essential.
- Ability to maintain confidentiality of privileged information.
- Professional appearance and demeanor required.
- Cultural proficiency; experience and/or ability to work and interact effectively with a diverse, multicultural audience.
- Valid driver's license required at time of hire.
- Illinois residents must possess a valid Illinois driver's license or obtain one within 90 days of hire. Valid out-of-state driver's license is required for out-of-state residents.
DESIRABLE/PREFERRED QUALIFICATIONS:
- Experience with PowerPoint and other Office software preferred.
- Raiser's Edge experience preferred.
- Multilingual ability, Spanish fluency a plus.
