Human Resource Specialist

If you a friendly, outgoing individual that has a passion for people and conservation alike— this is an opportunity you don’t want to miss!  The Indianapolis Zoo’s HR Department provides supportive functions of talent management, employee relations, payroll and benefits administration, performance evaluation and counseling, and volunteer services in a fast-paced environment. 

  • The primary focus of the Human Resources Specialist is the recruiting and on-boarding of new staff. 
  • This position interacts with all new hires, and all departments and requires a poised, articulate individual who can communicate in a friendly professional manner with a wide variety of internal and external customers.
  • Organizational skills, attention to detail, outstanding verbal and written communication skills are necessary for success in this role.
  • This is a paid, full-time, 40 hours per week, position with a typical schedule of Monday-Saturday, weekend and evening hours will apply due to season demands. 
  • Some overtime may be required for large organization events.
Requirements and responsibilities of this position include, but are not limited to:
  • A minimum of two (2) years of related work experience with specific experience in assisting with operational functions of a Human Resources Department and/ or full-cycle recruiting.
  • Recruiting- Is responsible for ensuring all job posts are accurately and professionally displayed on appropriate sites. 
  • Will work closely with the Director of HR to post positions quickly and efficiently as needed. 
  • Will cultivate relationships with staff and volunteers for retention and the volunteer program’s longevity, member/ donor relations.
  • Is responsible for partnering with the Director of HR and VP of HR to write error-free offer letters and acceptance letters for staff.
  • Responsible for the on-boarding process which includes monitoring the successful completion of the Zoo’s pre-employment requirements, and immediately alerting the Director of HR of any concerns.
  • For out-of-area candidates for hire, coordinates locating a drug testing vendor near the candidate’s home location and coordinates all aspects of ensuring that the pre-employment drug test is successfully completed.
  • Works closely with the Director of HR to develop and implement new, efficient processes for seasonal and guest service department hiring.  Will coordinate new hire orientations and all aspects of seasonal hiring during the Zoo’s “defined season.”
  • Conducts 30-day and 6-month stay interviews with new hires below management level.
  • Training –Will assist with training hiring managers on the Zoo’s Applicant Tracking System (ATS), ApplicantPro and interview training.
  • Payroll and Benefits – Possesses a basic understanding and working knowledge of payroll processing. Understands the benefit program(s) of the Zoo. Will participate with the HR team on insurance renewals and benefit programs. 
  • HRIS Management –Responsible for maintaining and managing the HR software systems. On-boards new hires, terminations in HRIS system (ADP), and file maintenance (as needed).
  • Budget and HR Administration – Supports the Payroll and Benefits Administrator who manages purchase orders against the budget. Ensures that the administration of all employment processes follow Zoo procedures as well as state and federal laws. Assists the Director of HR with policy and procedural development and implementation.
  • Professionalism – Displays a professional and positive attitude while interacting with peers, co-workers, staff, volunteers, vendor partners and the guests. Presents self as an accessible, friendly, and supportive HR professional.
  • Must be flexible, and able to adapt and maintain focus in a constantly changing environment.
  • Assists with planning, coordinating and executing Zoo events such as All Staff Meetings, Zookeeper Week, Staff Holiday Meal, etc. Has direct responsibility for the implementation and coordination of Zookeeper Appreciation Week.
  • Assists Human Resource Department in the planning, coordinating, and executing of Random Drug Screenings, TB Clinics and Flu Shot Clinics.
  • Participates in Human Resources/ Volunteer Services department meetings.
  • Attends job fairs, intern fairs, and other recruitment opportunities as needed. Researches and stays afloat of new job fair opportunities available.
  • Creatively sources job sites and places where the Zoo can post positions to gain maximum hiring exposure.   
  • Communicates with others in an articulate, courteous manner.
  • Ability to maintain a high level of confidentiality.
  • Experience working with employment data and report generation required.
  • Repetitive motion and exposure to office computer systems; must have the ability to operate a computer and other office productivity machinery such as but limited to, computer printer, scanner, copy machine, and calculator.
  • Predominantly indoor environmental conditions, although there is some exposure to outdoor environmental conditions, which include inclement weather, cold and hot temperatures, and humidity.
