Marketing & Communications Assistant

Lincoln Park Zoo’s Marketing & Communications team is looking for an assistant who’s highly organized, loves creating great experiences for teammates and zoo guests, has a good mind for processes and financials, and wants to contribute to a hard-working and fun culture. This role touches just about everything the team does by running point on our meetings and team events, as well as our invoicing. With Events housed in Marketing & Communications, this role also has a support role in signature events like ZooLights, Run for the Zoo, Craft Brews at the Zoo, and more. It’s a great way to learn about zoo events, operations, marketing, and communications.

  • This role earns $25-$27/hr. (approx. $45,000-$49,000 annually).
ESSENTIAL JOB FUNCTIONS
  • Provide support for team events like M&C full team meetings, social events, and team builds, including planning, agendas, rooms, off-sites, notes, catering or provided F&B etc
  • Support administrative needs of the Marketing & Technology Committee of the Board of Trustees. This includes scheduling/managing RSVPs, meeting arrangements/setup, presentation decks, note taking, and follow-up.
  • Handle production of small public/media events such as press conferences, sound meditations, individual vendor activations, and zoo tours
  • Support execution of zoo events in various capacities, including load-in, décor, event support staffing, prizes/donations, and Events inventory (this will require some nights/weekends)
  • Manage and respond to emails in Events inbox
  • Gather quarterly reporting data from various teams and draft quarterly report to deliver to VP
  • Provide administrative support for the VP including calendar management, IT help desk tickets, employee onboarding/offboarding, and notetaking
  • Receive, process, and track purchase orders and invoices for Marketing, Communications, Design, and Events
  • Maintain accounts (Zoom, Dropbox etc) and supplies for M&C team
  • Handle conference registration and professional travel arrangements for all M&C team members including flights, lodging, expenses, and other items as needed
  • Staff on-grounds photo and video shoots as needed
  • Keep M&C office and kitchen spaces clean and organized; handle Facilities requests for repairs and/or new needs for office
  • Handle administrative needs (copying, collating, mail etc)
  • Drive zoo golf cart and escort other staff, partners, and guests as needed
  • Present a positive and professional image for the organization
  • Other duties as assigned
KNOWLEDGE, SKILLS & ABILITIES
  • Good written and verbal communication and customer service skills, comfort with responding to guest inquiries on a variety of topics
  • Strong organizer
  • Thorough knowledge of modern office practices, procedures and equipment
  • Thorough knowledge of Microsoft Office suite and commonly used web applications like Dropbox, Zoom, and Google
  • Ability to handle confidential matters with discretion
  • Ability to organize tasks and time to ensure timely completion of all projects
  • Ability to understand and carry out oral and written directions
  • Ability to interact courteously and respectfully with supervisor, fellow employees, volunteers, zoo visitors and general public
EDUCATION REQUIREMENTS
  • High school diploma, GED, or equivalent experience.
EXPERIENCE REQUIREMENTS
  • Two years preferred. 
  • Experience in a similar work environment desirable.
PHYSICAL REQUIREMENTS
  • Ability to remain on feet for long periods of time.
  • Ability to regularly perform a variety of physical tasks that include but are not limited to climbing, bending, stooping, kneeling, twisting, reaching, and/or crawling.
  • Ability to operate and safely drive electric carts.
  • Ability to work in all weather conditions.
  • Physical strength, including ability to lift and move of up to 50 lbs.
  • No allergies to plants or animals exhibited on zoo grounds.
  • Ability to traverse zoo grounds.
ADDITIONAL REQUIREMENTS
  • Ability to work in an open office environment.
  • Available to occasionally work special events that may occur outside of regular work schedules, including evenings, weekends, holidays, or early mornings according to the demands of the role and tasks.
