Payroll & Benefits Specialist (Full Time)

The Payroll and Benefits Specialist will process bi-weekly payroll and maintain employee time records and is responsible for assisting with the administration of all benefits and retirement programs, including medical, dental, vision, life-insurance, short and long term disability, and 401(K) plan.

Essential Functions:
  • Implements, maintains, and reviews payroll processing systems to ensure timely and accurate processing of payroll transactions including salaries, benefits, garnishments, taxes, and other deductions.
  • Ensures accurate and timely processing of bi-weekly payroll updates including new hires, terminations, and changes to pay rates.
  • Prepares and maintains accurate records and reports of payroll transactions.
  • Ensures compliance with federal, state, and local payroll, wage, and hour laws and best practices.
  • Facilitates auditory reports.
  • Ensures the accuracy of all benefits enrollments in the HRIS to provide vendors with accurate eligibility information.
  • Performs quality checks of benefits-related data.
  • Assists employees regarding benefits claim issues and plan changes.
  • Distributes all benefits enrollment materials and determines eligibility.
  • Enrolls employees with carriers and process life status changes.
  • Responds to benefits inquiries from managers and employees on plan provisions, benefits enrollments, status changes and other general inquiries.
  • Processes and administers all leave-of-absence requests and disability paperwork: medical, personal, disability and FMLA.
  • Effectively interprets FMLA and ADA implications as they relate to leaves of absences/disabilities.
  • Responds to 401(k) inquiries from managers and employees relating to enrollments, plan changes and contribution amounts. Manages contribution enrollments and loans.
  • Coordinates annual open enrollment for employees.
  • Ensure organization remains compliant with all regulations and policies as required based on state and federal requirements, including ACA and FLSA.
Minimum Education/Experience:
  • 3+ years of related experience.
  • Advanced user of Microsoft Office Excel.
  • Associate's degree Business Administration, Human Resources, or related field.
Preferred Education/Experience:
  • Thorough knowledge of payroll function including preparation, balancing, internal control, and payroll taxes AND/OR Thorough knowledge of employee benefits, including 401K, COBRA, HIPAA, and ERISA requirements.
  • Bachelor’s degree in Business Administration, Human Resources, or related field.
  • Previous experience in non-profit setting.
  • Experience with payroll software (UKG or similar).

Reporting Structure:
  • Reports to HR Generalist, HR Director.
Position Type/Expected Hours of Work:
  • This is a full-time 40-hour-per-week, salaried position.
  • Typical office hours are 9 am – 5 pm M-F. May occasionally require weekend or holiday hours.
Work Environment:
  • This position primarily works indoors within a typical office environment.
  • Position occasionally requires walking across Zoo grounds.

  • While performing the duties of this job, the employee is frequently required to sit, talk and hear.

  • The employee may occasionally lift and/or move up to 30 pounds.
