The Program Operations Coordinator advances DZCA’s mission by coordinating the day-to-day logistics and administrative functions that allow Conservation Learning + Connection programs to run smoothly and ensure an excellent participant experience. This role is the department’s primary support for Tessitura (CRM) program data—entering, maintaining, and reporting on attendance, demographics, and other key metrics—to help the team communicate outcomes, improve processes, and demonstrate program impact. This role partners with program managers, coordinators, and cross-functional teams to support program bookings, client communications, payments, and scholarship distribution; maintain accurate, timely program records, and schedule staff, spaces, and resources as needed.

Essential Duties and Responsibilities
Program Systems, Data Integrity & Operational Workflows
- Serves as the department’s primary owner of program operations systems and workflows, ensuring consistent, efficient processes across scheduling, registration, communications, payments, and scholarship administration.
- Maintains accurate, timely program data in Tessitura (CRM) by establishing data standards, ensuring consistent program and participant records, and regularly auditing data quality.
- Prepares and manages program data for reporting on attendance, demographics, and participation trends to support evaluation, planning, and funder/impact communication.
- Identifies gaps, inefficiencies, and failure points in administrative and data workflows; recommends and implements process improvements to increase efficiency, clarity, and customer experience.
- Develops and maintains documentation (templates, checklists, SOPs) that support consistent use of systems and shared operational practices across programs.
Program Logistics Execution & Client-Facing Communication
- Steps into day-to-day logistics execution and problem-solving as needed—addressing immediate needs while identifying patterns, gaps, and opportunities to strengthen systems and workflows.
- Coordinates and executes end‑to‑end program booking workflows—from initial inquiry through confirmation, communication, and payment—serving as a primary point of contact for teachers, parents, schools, and partners while ensuring all transactions align with established policies and workflows.
- Provides operational, logistical, and reporting support by maintaining accurate schedules, rosters, materials, and records that enable program staff to focus on educational delivery and participant experience.
- Supports the department with administrative functions including meeting scheduling, planning and minutes, equipment/vehicle check-out, work orders, inventories, purchasing of office and program supplies; purchase invoice submission, mail distribution and other needs as determined.
Organizational Representation & Cross‑Team Support
- Supports other department priorities, including program implementation functions as needed, i.e., camp check-in and check-out, school group greeting, and guest engagement at the Zoo and in the community
- Models and supports positive team culture through communication and support of activities designed to welcome, include and recognize all team members.
- Communicates effectively and professionally with all DZCA staff members and volunteers, and model outstanding customer service.
- Represents DZCA to the community in a professional and positive manner
Knowledge, Skills, and Abilities:
- Proficient with Tessitura CRM or equivalent platform; preference for candidates with demonstrated experience in Tessitura specifically including order entry, manipulating reporting/analytics, and generating lists.
- Proficient with Microsoft Office Suite; experience with customer management, program registration databases and staff scheduling platforms such as When to Work.
- Requires excellent organizational skills, written and oral communication skills, attention to detail, customer service, and ability to prioritize work and tasks.
- Requires adaptability to produce and meet deadlines in a fast-paced, multi-task and changing environment, and the ability to work as part of a team.
- Requires the ability to embrace, support, and integrate DZCA’s philosophies to promote and demonstrate its commitment to diversity, inclusion, equity, and anti-racism.
- English/Spanish fluency a plus.
Requirements & Qualifications:
- Completion of a high school degree or equivalent required; training in systems management, business administration, or any equivalent combination of experience, lived experience, and/or special skills.
- Experience providing administrative support, program registration, staff scheduling, data tracking and reporting in a professional setting required
Position Conditions
- Ability to pass a physical examination, background check and pre-employment drug and alcohol screen.
Compensation
The range for this position is $24.20 $29.64 (hourly).
