Position Summary
- This member of the ZooTampa Event Productions team plays a crucial role in supporting the planning, coordination, and execution of consumer events.

Essential Functions (Including, but not limited to):
- Acts as primary contact, project manager, and facilitator of the Zoo’s consumer events as assigned by the Director of Event Productions.
- Oversees, mentors, and provides guidance to Event Productions staff, interns, volunteers, and vendors. Direct reports include the Event Productions Manager and Coordinator. Also oversees the management of the Costumed Character team.
- Prepares comprehensive event timelines and checklists for the Director of Event Productions, including layout diagrams, event set-up and breakdown, staff assignments, event operations, and post-event analysis.
- Creates and distributes an accurate and timely Prospectus and BEO for every event, ensuring Zoo-wide information flow.
- Schedules and participates in regular interdepartmental meetings to discuss event plans to promote Zoo-wide collaboration, communicate client requests, maintain brand image, and ensure successful events.
- Alongside the Director of Event Productions, creates event budgets and proformas aimed at meeting or exceeding financial and attendance objectives. Monitors costs and ensures adherence to the Zoo’s purchasing policies.
- Monitors inventory of event supplies, orders supplies, when needed, and maintains corresponding budgets.
- Provides hands-on support during all Zoo events, including set-up and breakdown.
- Collaborates with Finance to manage invoices, receipts, and budget.
- Manages a wide range of complex and confidential situations related to Zoo events, resolving conflicts efficiently and discreetly.
- Prioritizes the safety of employees and guests during events by proactively identifying and mitigating potential risks.
- Conducts all activities in alignment with AZA standards and guidelines, all relevant laws and regulations, safety standards, and standards that ensure animal welfare.
- Other duties as assigned.
Qualifications and Experience:
- Bachelor’s Degree in hospitality, communications, marketing, business, or related field required.
- Minimum 4 years in event planning, project management or related skills.
- Basic knowledge of Tripleseat computer software and AV equipment preferred.
- Supervisory experience preferred.

- Must be deadline oriented.
- Capable of influencing and leading cross-departmental teams throughout the event planning and production process.
- Ability to anticipate needs and plan strategically for the future, with the ability to manage long-term, multi-year projects.
- Strong problem-solving abilities, with the capability to think critically and independently with minimal supervision.
- Exceptional interpersonal and communication skills, both verbal and written, and the ability to engage effectively with diverse audiences.
- Able to multi-task in a fast-paced environment while maintaining a positive and professional demeanor.
- Exhibits project management skills, including designing, implementing, and tracking events and programs
- Ability to respond to sensitive inquiries or complaints with professionalism and tact.
Physical Requirements:
- Ability to work in extreme weather conditions typical to west central Florida (i.e., heat, rain, or cold).
- Ability to use radio, telephone, and computer to communicate and follow written and verbal instructions.
- Must be willing and able to work varied and long shifts including holidays and weekends.
- Must be able to work in a variety of physical positions, including sitting, bending, and standing, walking and driving.
- Must be able to lift over 50 pounds and carry event items such as signs, supplies, linens, etc.
